RJS & Partners LLP (“Wardcote”, “we”) is the controller of the personal information described here. Contact us at partners@rjsandpartners.co.uk.

What we collect and why

  • Tier check. Your answers are recorded without your name or email, so we can understand how the check is used. If you ask us to email your result, we use your email address only to send it. If you choose Start free, the link to the app carries your main use, people band and result as codes, so the app can start from them.
  • Founding list. Your name, email, venue and number of venues, so we can tell you when the Wardcote software launches and offer the founding price. Our lawful basis is your request. We send occasional updates only if you tick the box, and you can unsubscribe at any time.
  • Printable templates and worksheet. When you print the free templates or the counting worksheet, we ask for your email and, if you choose, your organisation or venue and venue type. We also record which sheet you printed, the page and any campaign tags in the link you followed. We use this to give you print access, to understand who uses the templates, and to tell you about any important correction to them. Our lawful basis is our legitimate interests in providing and improving these free resources. We send occasional Martyn’s Law updates only if you tick the box: the lawful basis for those is your consent, and you can unsubscribe or withdraw it at any time. Your browser remembers that printing is unlocked, so we don’t ask again; this is stored on your device only.
  • Security review and enhanced tier requests. The contact and venue details you give us, so we can respond and, with your consent, share them with the security partner we introduce you to, who delivers the security services and uses them under its own privacy notice.
  • Technical data. Our hosting provider keeps short-lived server logs, such as IP addresses, to keep the site secure. We do not use advertising or analytics cookies.

Who we share it with

Service providers who host the site, store our data and send email for us, under contracts that protect it. The vetted security partner we introduce you to, when you have asked us for help with security or the enhanced tier. We never sell personal information.

How long we keep it

Founding list details until you ask us to remove them, or 24 months after the software launches if we have not heard from you. Enquiries for 24 months. Template print requests for 24 months, then deleted. If you ticked the updates box, we keep your email for updates until you unsubscribe, then delete it. Anonymous tier check answers for 24 months.

Your rights

You can ask to see, correct or delete your information, object to how we use it, or withdraw consent at any time by emailing us. If you are unhappy with how we handle your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
